Overview

A conversational AI assistant answers user questions and performs actions in natural language across channels like web chat, Teams, and voice. It blends retrieval (to ground answers in company knowledge), tool calling (to act on systems of record), and memory (to keep context across a conversation). Use this architecture for customer support, IT helpdesks, or internal knowledge assistants where accuracy, traceability, and integration with existing systems matter.

Data Flow

A user message arrives through Bot Service and reaches the orchestrator. The orchestrator loads recent memory from Cosmos DB, retrieves relevant passages from AI Search, and asks Azure OpenAI to either answer or call a tool. If a tool is needed (look up an order, reset a password), the orchestrator calls it through API Management, feeds the result back to the model, and produces a grounded reply with citations. The turn, its retrieved context, and any actions are logged and stored as memory.

Scaling and Resilience

All compute is serverless and scales with conversation volume. Cache retrieval results and reuse embeddings to control cost. Set per-conversation limits on tokens and tool-call loops to prevent runaway cost. Provide graceful degradation: if retrieval or a tool fails, the assistant should say so rather than hallucinate. Run across regions for availability, and keep the search index and model in the same region to limit latency.

Security

Ground retrieval in the user's permissions so the assistant never surfaces documents they cannot access. Apply guardrails on inputs and outputs to block injection and unsafe content, and treat retrieved content as untrusted. Require confirmation before tools take consequential actions, and scope each tool with least privilege. Redact PII in logs, encrypt data, and keep an audit trail of every action the assistant took on a user's behalf.

Trade-offs and Alternatives

Combining RAG, tools, and memory makes a capable assistant but increases latency, cost, and complexity; add each capability only when it earns its keep. A managed conversational platform speeds delivery but constrains customization, while a custom orchestrator offers control at higher build cost. Tool calling unlocks real value but raises risk, so invest in confirmation flows and guardrails. Measure answer quality and resolution rate with evaluations, not vibes, before and after each change.
